Here’s how the integration and handoff process works:
Logging Every Touch in CRM: Transparency is crucial – the AI should behave like any other sales rep when it comes to record-keeping. Using the CRM’s API, the agent logs activities such as emails sent, LinkedIn messages, and prospect replies. For example:
When the AI sends an email, it can create a “Completed Task” or “Email Sent” activity on the lead’s record, including the email content. (Many CRMs also allow sending emails through them; we could send via Salesforce to auto-log, but we often prefer direct email API for flexibility, so we log manually via API.)
If the prospect opens an email or clicks a link (and we capture that event), we might log an “Engagement” activity or at least update a field like “Last Email Opened: Date/Time” – this info can be useful to sales.

The human salesperson (AE or closer) takes over the relationship from the meeting onward. If anyone asks for their data to be removed, we comply and delete them from our prospect lists (and even wipe their data from the AI’s memory stores). The AI can be instructed to handle a GDPR data deletion request by forwarding it to our compliance team immediately.
Rate and Volume Limits: We avoid the classic spam move of blasting thousands of emails at once. The AI throttles its send volume to a human-like pace. For example, maybe it sends 50–100 emails per day, spread throughout working hours. This not only is more compliant with email best practices (avoiding spam filters by not spiking volume) but also means we’re not overwhelming people. We focus on quality targeted outreach, not spam quantity.
LinkedIn and Platform Policies:
LinkedIn’s user agreement is strict about automated activity. To respect that, we keep automation subtle and within reasonable bounds. We do not scrape data we shouldn’t or bombard users with messages. Each LinkedIn account we use is a real account of a team member, with their consent, and we ensure any message the AI sends is something that account holder would genuinely be comfortable sending.
We don’t attempt to circumvent security; we use the platform in good faith. If LinkedIn were to detect and warn us, we would adjust or pull back. In our tests, by staying low-volume and highly personalized, we actually got better results and no issues – largely because what we send doesn’t trigger spam red flags (it looks like genuine 1-to-1 outreach, which it is).
For other data sources (like scraping websites), we respect robots.txt where applicable and avoid excessive requests. The AI is polite in how it gathers info, essentially.

Respecting Boundaries:
The AI will not continue to pester someone who has said “no” or is unresponsive after the sequence. We limit to a reasonable number of follow-ups (as outlined, usually 3-4 touches). If no response, the AI doesn’t keep hammering indefinitely (beyond maybe a much later check-in for nurturing). This respects the prospect’s implicit disinterest. Many automated systems fail here by spamming too much; our agent is programmed to behave like a considerate human SDR who knows when to back off.
Time of day respect: We usually send during business hours of the prospect’s timezone. The AI can infer timezone from area code or an educated guess (or we ask in CRM). We don’t send at 3 AM or on weekends unless perhaps it’s a global context and even then, we try to match normal business times. This isn’t a legal issue, but it’s a courtesy to avoid annoying people at odd hours.
Privacy of Data:
All prospect data used (LinkedIn info, etc.) is data they have made public or that we obtained through proper means (e.g., they filled a form, or it’s B2B info like work email). We handle it carefully. Data is stored securely, and we don’t use it beyond the scope of sales outreach. We comply with any data deletion requests.
Internally, we treat the AI as if it were a human team member when it comes to data access – meaning it only accesses data necessary for its role. It doesn’t trawl through unrelated CRM records or sensitive information not relevant to outreach.
Transparency to Users:
This is a debated area: do we tell prospects they’re talking to an AI? Our approach has been to let the AI interact as if an SDR employee. We did this to ensure prospects weren’t biased by the knowledge (some might not take it seriously if they knew, others might test the AI). However, we ensure that internally everyone knows it’s an AI agent. And if a prospect ever explicitly asks, the AI can respond with a gentle truth (“I’m an AI assistant working with the team to reach out – I gather info and help start conversations. For inbound or existing customers, we would probably disclose an AI assistant (like in chatbots, we label them). But since this agent is doing cold outbound similar to how automated marketing emails work (which are also automated but often signed by a person or just a company), we follow similar norms.

Outreach Volume: Number of prospects contacted, emails sent, LinkedIn messages sent. This is the activity count, often shown daily/weekly to see scale. For example, “Emails sent: 500 this week” – something a manager might compare to a human team’s output.

Neutral/Negative Reply Rate: e.g., “No thanks” or unsubscribes. We track this to ensure we’re not irritating too many folks and to see if changes in messaging reduce negatives. Interestingly, by being more personalized, the negative responses tend to be polite or zero – people are less likely to be annoyed when they feel you actually researched them.
Meeting Conversion: How many meetings booked out of the positive replies. For instance, if 50 positive replies and 10 turned into scheduled meetings, that’s a 20% meeting conversion (or simply the count: 10 meetings).
