INTRODUCTION
In Jeeva AI, email templates and signatures help you standardize communication, maintain brand consistency, and save time. Whether you are setting up a new campaign or refining your follow-ups, understanding Jeeva’s formatting capabilities, how it handles threading, and the best way to manage templates will help you run smoother, error-free outreach.
This guide will walk you through creating templates and signatures that display correctly, explain how Jeeva handles subjects for follow-ups, and cover best practices to avoid common issues.
CREATING AND FORMATTING EMAIL TEMPLATES
Jeeva supports plain text and light rich formatting, optimized for reliable display in Gmail, Outlook, and other standard email clients.
While full HTML is not fully supported (and may result in broken layouts or raw code showing), you can style your emails using the built-in formatting toolbar:
Bold, italic, underline: Use the “B”, “I”, and “U” icons.
Bullet points or numbered lists: Use the list icons.
Links: Add using the chain link icon.
Font size and color: Use the size dropdown and “A” color picker.
Tip: Avoid pasting HTML directly into Jeeva. This prevents odd characters or unwanted breaks in your messages.
WORKING WITH SIGNATURES
Once your signature is set up in Jeeva, it will automatically be appended to all outbound messages, including follow-ups.
Signatures are global per workspace or per user, they cannot currently be turned off for specific campaigns or emails.
Other key points to know:
Signature changes apply only to emails sent after the update.
To keep formatting clean, build your signature using Jeeva’s toolbar instead of raw HTML.
If your signature is showing strange symbols or spacing, rebuild it in the editor rather than pasting from another source.
SUBJECT LINES AND THREADING RULES
Jeeva maintains thread continuity by keeping the original subject line across all follow-ups in a campaign. This helps ensure emails stay grouped and increase deliverability.
If you manually change the subject of a follow-up inside the same thread, Jeeva will override it back to the original subject line to preserve threading.
You can add prefixes like “[Company]” in the initial template’s subject, and these will stick across all follow-ups.
There is currently no setting to completely override subject threading behaviour.
MANAGING TEMPLATES SAFELY
To avoid campaign errors:
Do not delete a template that is still in use by a live campaign.
If you need to remove it, reassign the campaign to a new template or pause the campaign before deleting.
If a deleted template causes sending errors, re-add the template or ask support to clear the reference.
This helps avoid “missing template” send failures.
TESTING BEFORE LAUNCHING
Before sending a campaign, use the Preview or Send Test Email button. This lets you:
Check your formatting across clients like Gmail and Outlook.
Confirm that your signature looks correct.
See how threading will appear for follow-ups.
