INTRODUCTION

Connecting your email inbox to Jeeva AI is key for seamless outreach, tracking replies, and managing conversations. This guide walks you step-by-step through securely setting up Gmail or Outlook inboxes, handling disconnects, and solving common problems like re-authentication loops, connection failures, and email sync issues. It also explains why Zoho Mail works differently and covers important security and browser considerations.

1. HOW TO CONNECT YOUR GMAIL OR OUTLOOK INBOX TO JEEVA AI

  • Go to Navigation Bar → Unibox →  Unibox Settings → Connect New Email/Connect New Inbox → Connect.

  • Choose Gmail or Outlook.

  • Sign in using your Google or Microsoft credentials via OAuth (the secure login flow).

  • If prompted, enter any verification code sent by Google or Microsoft.

  • Once permission is granted, your inbox will be connected and ready.

Security Note:
Jeeva uses OAuth 2.0, the same secure authentication used by Google and Microsoft. Your password is never stored on Jeeva’s servers, making this process safe and confidential.

2. ZOHO MAIL COMPATIBILITY

  • Jeeva currently does not support Zoho as an email inbox provider for sending or receiving emails.

  • You can connect Zoho as a CRM only, but email functionalities require Gmail or Outlook.

  • Zoho app passwords have a specific length of 12 characters, relevant when configuring Zoho account security, but this does not apply to Jeeva email connections.

3. DISCONNECTING YOUR INBOX FROM JEEVA AI

  • Navigate to Unibox → Unibox Settings.

  • Tick the checkbox beside the inbox you want to disconnect.

  • Click the Disconnect button on the top left.

Important Before Disconnecting:

  • Make sure there are no active campaigns or automations using this inbox.

  • Remove the inbox from any workflows (like Unibox or Outreach sequences).

Troubleshooting Disconnect Issues:
If you cannot disconnect, it usually means your inbox is still linked to active campaigns or automations. Remove all dependencies, then try disconnecting again.

4. RE-AUTHENTICATION LOOPS & LOGIN ISSUES

Why it happens:

  • Your browser blocks third-party cookies required for OAuth (common with Gmail).

  • Google’s SameSite cookie policies restrict OAuth cookie use.

  • You are logged into multiple Google or Microsoft accounts in the same browser session.

How to fix it:

  • Enable cookies for jeeva.ai in your browser settings (especially third-party cookies).

  • Log out of all other Google or Microsoft accounts except the one you want to connect.

  • Clear your browser cache/cookies, or try an incognito/private window.

  • Try connecting again with only the intended account logged in.

5. RECONNECTING YOUR INBOX IF DISCONNECTED

  • Go to Unibox → Unibox Settings.

  • Click Reconnect next to the disconnected email.

  • Follow the sign-in prompts to authenticate again.

Common causes of disconnection:

  • Password changes on your email account.

  • Permission revocation in Google or Microsoft account security settings.

  • Connection token expires after inactivity.

6. TROUBLESHOOTING WHY EMAILS AREN’T SHOWING IN JEEVA

If you’re not seeing replies in Jeeva even though leads responded:

  • Confirm your inbox is still connected and shows a green “Connected” status.

  • Check the reply email was sent to the same connected inbox address.

  • Make sure replies are not stuck in spam or filtered folders in your email client.

  • If everything seems fine, try reconnecting your inbox to refresh syncing.

7. GMAIL CONNECTION KEEPS FAILING? TRY THIS

  • Clear your browser cache and cookies.

  • Enable pop-ups for jeeva.ai.

  • Make sure third-party cookies are enabled during the connection process.

  • Use an incognito/private window to avoid conflicts with other logged-in accounts.

8. CAN I CONNECT MULTIPLE GMAIL OR OUTLOOK INBOXES?

Yes. You can connect multiple Gmail or Outlook inboxes, but each must be connected and authenticated separately through OAuth.

9. WILL OLD EMAILS DISAPPEAR AFTER DISCONNECTING?

No. Disconnecting stops new emails from syncing but does not remove old emails or logs from Jeeva.

However, you cannot send or reply from that inbox until you reconnect it.

10. WHY AM I ASKED TO RECONNECT FREQUENTLY?

Common reasons include:

  • Google/Microsoft security settings forcing token refreshes.

  • Browser privacy settings automatically clearing cookies.

  • Multiple logins in the same browser session causing token conflicts.

11. CAN I USE APP PASSWORDS INSTEAD OF OAUTH?

No. Jeeva strictly uses OAuth for Gmail and Outlook integrations because it’s more secure and doesn’t require storing your email password.

12. IS JEEVA’S INBOX CONNECTION SOC 2 COMPLIANT?

Yes. Jeeva’s Gmail and Outlook integrations comply with SOC 2 security standards, ensuring your email data is handled securely and confidentially.

SUMMARY & BEST PRACTICES

  • Use OAuth via the secure Connect flow to link your inbox.

  • Always ensure no active workflows or campaigns use an inbox before disconnecting.

  • Enable cookies and avoid multiple simultaneous logins to prevent re-authentication loops.

  • Regularly check your inbox connection status in Unibox Settings.

  • For Zoho users, note that only CRM integration is supported, not inbox.

This flow ensures your inbox is securely connected, stays healthy, and that your sales communications run smoothly with Jeeva AI. If you run into trouble, the solutions here and Jeeva support are ready to assist.
