INTRODUCTION
Jeeva AI’s AI Notetaker creates meeting transcripts in real time and posts a summary within minutes after your call ends. Most transcripts are ready quickly, but if a delay occurs, especially beyond a week, there are a few checks you should run before escalating to support. This guide will walk you through normal timelines, where to find your notes, what to check when they are delayed, and how to request reprocessing.
1. NORMAL DELIVERY TIMELINE
During the call: The AI Notetaker captures and processes your conversation.
After the call: Meeting summaries usually appear within minutes, and full transcripts populate shortly after.
For longer sessions or busy periods: Processing can take a bit longer, but still within the same day.
2. WHERE TO FIND TRANSCRIPTS AND SUMMARIES
Go to Navigation Bar → Integrations → AI Notetaker.
You’ll see a list of meetings with a “View Summary” option for each. If your CRM is connected, transcripts and action items can also appear automatically in your CRM.
3. WHEN A TRANSCRIPT IS DELAYED
If more than a week has passed and your transcript or summary still isn’t available, first check the most common blockers:
Calendar connection – Ensure your Google or Outlook calendar is still connected.
Bot access – The AI Notetaker must be allowed into the meeting.
Live captions – In Zoom or Microsoft Teams, captions need to be enabled for transcripts to be generated.
Sign-in method – Use the same login method you used previously to avoid viewing a different account.
If you recently switched Outlook or Google permissions, re-authenticate and confirm your IT team has granted required access.
4. REQUESTING A REPROCESS
If the original transcript can’t be found or was never generated:
Contact support via ticket or support@jeeva.ai with meeting details.
The team will verify prerequisites and attempt recovery where possible.
ESCALATION FLOW FOR DELAYS
When escalating a transcript delay (over one week old), include:
Meeting title and date
Time with timezone
Organizer email address
Link to the calendar event
Conferencing tool used (Zoom, Teams, etc.)
Whether live captions were enabled
Providing these details speeds up investigation and recovery.
6. CHECKING FOR WIDER ISSUES
Before escalating, check the Jeeva System Status page to see if there is an ongoing incident affecting transcript processing.
7. PRIVACY AND COMPLIANCE
All transcripts and summaries are encrypted in transit and at rest. Jeeva aligns with privacy frameworks like SOC 2, and data is handled per your organization’s Data Processing Addendum.
